Privacy Policy

How Ringwood Specialist Group collects, uses, stores and protects your personal and health information.

This privacy policy is provided as a general template and should be reviewed by a qualified legal professional before publication to ensure it meets the practice's specific obligations.

Ringwood Specialist Group ("we", "us", "our") is committed to protecting the privacy of your personal and health information. We handle your information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what information we collect, how we use and protect it, and how you can access or correct it.

The information we collect

To provide safe, high-quality specialist care, we may collect the following personal and health information:

  • Your name, date of birth and contact details
  • Medicare, Department of Veterans' Affairs and private health fund details
  • Referral information from your GP or other referring practitioners
  • Clinical information, including your medical history, test results, medications and the care we provide

How we collect your information

Wherever possible, we collect information directly from you — in person, by phone, or through our website enquiry and booking forms. We may also collect information from:

  • Your general practitioner or other referring practitioners
  • Other treating health providers involved in your care
  • Pathology and radiology providers and, where relevant, hospitals

How we use and disclose your information

We use and disclose your information for the primary purpose of providing your care, and for directly related purposes you would reasonably expect. This includes:

  • Providing assessment, diagnosis and treatment
  • Communicating with your GP and other treating providers as part of shared care
  • Billing, processing payments and claiming Medicare or health fund rebates
  • Meeting our legal and professional obligations, and as otherwise required or authorised by law

We do not use or disclose your information for marketing purposes without your consent, and we do not sell your information.

How we store and protect your information

We take reasonable steps to protect your information from misuse, loss, and unauthorised access, modification or disclosure. Records are held in secure electronic and, where relevant, physical systems, with access limited to authorised members of our team. We retain health records for the periods required by law and dispose of information securely when it is no longer needed.

Accessing and correcting your information

You may request access to the personal and health information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. To make a request, please contact our office using the details below. We may need to verify your identity before releasing information, and in limited circumstances permitted by law we may decline a request and will explain why.

Website enquiry and booking forms

Information you submit through our website enquiry or booking forms is used only to respond to your enquiry and to arrange your care. It is treated with the same care and confidentiality as all other information we hold.
